Inventory & Order Management Coordinator

COAST Portland is seeking a detail-oriented, highly organized Inventory & Order Management Coordinator to serve as a key operational resource within the Supply Chain team. Reporting to the Director of Supply Chain, this role is responsible for ensuring the accurate and timely flow of inventory and orders across COAST's domestic operations. From monitoring stock levels and coordinating transfer orders, to supporting customer order fulfillment and cross-functional communication, this role sits at the intersection of planning, logistics, and customer satisfaction.

KEY RESPONSIBILITIES:
The Inventory & Order Management Coordinator will play a critical role in supporting the day-to-day operations of COAST's Supply Chain team. Key responsibilities include, but are not limited to:
Monitor and maintain accurate inventory levels across warehouse and distribution locations, identifying discrepancies, and initiating corrective action as needed.
Process and manage customer and sales orders from entry through fulfillment, ensuring accuracy and on-time delivery.
Coordinate with the Logistics and Warehouse teams on inbound and outbound shipment scheduling, lead times, and order status updates.
Serve as a point of contact for internal teams — including Sales, Customer Service, and Finance — on order status, inventory availability, and fulfillment timelines.
Support demand planning activities by tracking inventory movement, flagging low-stock or overstock situations, and assisting with replenishment recommendations.
Maintain and update ERP system records for sales orders, inventory transactions, and vendor information to ensure data integrity.
Generate and distribute regular inventory and order management reports for internal stakeholders and leadership.
Support the Director of Supply Chain in identifying process improvement opportunities within inventory control and order management workflows.
Assist with cycle counts, annual physical inventory audits, and related reconciliation efforts.
Full-time (40 hours/week) role based in Portland, OR, with a hybrid schedule of four days onsite and one day working remotely.

SKILLS & QUALIFICATIONS
Education
Associate's or Bachelor's degree in Supply Chain Management, Business Administration, Operations, or a related field preferred.
Equivalent combination of education and relevant work experience will be considered.
Experience
1–3 years of experience in inventory control, order management, supply chain coordination, or a related operations role.
Prior experience in a manufacturing, distribution, or consumer products environment is strongly preferred.
Experience working cross-functionally with logistics, sales, or customer service teams is highly valued.
Skills & Competencies
Proficiency in Microsoft Office Suite — Excel, Word, Outlook — is required; advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP) are a strong plus.
Experience with an ERP system (such as NetSuite) is strongly preferred.
Experience Warehouse Management Software is a plus.
Exceptional attention to detail; accuracy in order data, inventory counts, and vendor records is essential in this role.
Strong organizational skills with the ability to manage multiple open orders and competing priorities simultaneously.
Clear and professional written and verbal communication skills — this role interfaces with internal teams, 3PL providers, and occasionally customers.
Proactive and solutions-oriented — able to anticipate inventory or fulfillment issues before they escalate.
Comfortable working in a fast-paced environment where priorities can shift and timelines are critical.
Collaborative and dependable — the Supply Chain team relies on accurate, timely information to make decisions.

COMPENSATION:
Annual Salary: DOE — competitive compensation with opportunity for growth
Pay Frequency: Semi-Monthly
Annual Bonus: Discretionary based on overall company performance
